Yaqeen Institute is seeking a dedicated and organized Event Coordinator to join our dynamic team. The Event Coordinator will be responsible for planning, organizing, and executing a variety of events that align with Yaqeen Institute’s mission and goals. The ideal candidate will have a passion for event planning, excellent organizational skills, and the ability to manage multiple tasks simultaneously.

Responsibilities

  • Event Planning and Coordination
  • Plan and coordinate events such as conferences, seminars, workshops, retreats, webinars, iftaars and banquets.
  • Develop and manage event timelines, schedules, and task lists to ensure timely execution of all event components.
  • Coordinate with internal teams and external vendors to secure venues, catering, audio-visual equipment, and other necessary services.
  • Oversee event logistics including registration, attendee communication, transportation, and accommodation arrangements.
  • Budget Management
  • Prepare and manage event budgets, ensuring all expenses are within the allocated budget.
  • Negotiate contracts with vendors and service providers to obtain the best possible rates and services.
  • Marketing and Promotion
  • Collaborate with the marketing team to develop and implement promotional strategies for events.
  • On-Site Event Management (As Needed)
  • Oversee the setup and teardown of event venues, ensuring all arrangements are in place.
  • Manage event staff and volunteers to ensure smooth execution of the event.
  • Handle any issues or emergencies that arise during events, providing effective solutions.
  • Post-Event Evaluation
  • Conduct post-event evaluations to gather feedback from attendees and stakeholders.
  • Analyze event performance and provide recommendations for future improvements.
  • Prepare detailed event reports and summaries for internal review.

Required skills

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
  • Minimum of 2 years of experience in event planning and coordination.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Proficiency in event management software and tools.
  • Creative problem-solving skills and attention to detail.
  • Experience working in a non-profit or educational organization.
  • Familiarity with Islamic values and principles.
  • Proficiency in multiple languages.
  • Flexibility to work evenings and weekends as required for events.
  • Ability to travel as needed for event coordination and management.
